The Impact You’ll Make
As the Executive Assistant, you will be crucial in supporting the President by managing their calendar, handling communications, and driving business processes. Your role will involve auditing, reporting, and interacting with Retail General Managers to ensure accountability and efficiency. You will also help onboarding new locations, developing job descriptions, and creating processes to streamline operations. You will support new business ideas by proactively researching critical business requirements, including identifying the right people or business partners for various tasks and collaborations.
Your proactive approach and desire to jump into the unknown with curiosity and a can-do attitude will be key in organizing and executing strategies that support the President’s vision.
What You’ll Do:
Manage Calendar and Email: Organize and maintain the President’s schedule, handle correspondence, and ensure they stay focused on high-priority tasks
Support Business Operations: Audit, report, file, and analyze business operations, holding GMs accountable, and assisting with decision-making and execution
Onboard New Locations: Handle back-office tasks such as paperwork, licensing, and permits for new locations, as the business expands
Support Marketing: Coordinate and expand on digital and traditional marketing efforts.
Streamline Processes: Analyze current manual systems, develop new processes, and create structure to support organizational goals using Excel, Google Docs, and other tech tools
Tech Savvy: Manage and create online forms and processes, assist managers with tech solutions, and migrate systems to AI-driven solutions
Collaborate and Provide Feedback: Work closely with the President to distill ideas, offer honest feedback, and provide collaborative support for achieving business objectives
Does This Sound Like You?
You have 3+ years of experience as an Executive Assistant or in a similar high-level administrative role
You are highly organized, have great follow-through, and excel at proactively managing multiple priorities
You have strong tech skills in Excel, Google Docs, and online process management
You have experience working with entrepreneurs or visionaries, and you’re skilled at distilling business ideas into actionable tasks while providing operational feedback
You’re collaborative, patient, and able to navigate a fast-paced, evolving environment with minimal direction
Bonus: Knowledge of franchise business or commercial/real estate is a plus

Office Location: Ponte Vedra, Jacksonville, Florida
This is a Full-Time permanent hybrid position (2-3 days/week), working on-site in a professional home-office setting
